Compared to dedicated software with a monthly subscription, an Excel or Google Sheets spreadsheet looks like the economical default option. That math is misleading: the cost doesn't disappear, it just shifts to human time — harder to put a number on, but very real.
The time spent entering and re-entering data
A spreadsheet doesn't collect anything automatically: every hour has to be entered manually, by the employee or by someone centralizing the information. When that data then has to be carried over into payroll software or another tool, re-entry piles on top of the initial entry — duplicated work that adds no value on its own, only an extra chance for error at each transfer.
The time spent checking and correcting
A formula broken by a row inserted in the wrong place, a cell edited by mistake, a shared file where two people work on it at once without knowing it: spreadsheets have no structural safeguard against this kind of incident. Someone has to review and check regularly to make sure the totals are reliable — a checking overhead that wouldn't exist with a system where the calculation is automatic and the data protected.
A cost that's invisible because it's spread out
The real trap of the spreadsheet isn't an identifiable line item — it's time scattered across several people, several times a month, never concentrated enough to look like an obvious problem. Nobody thinks "we're losing money on this spreadsheet," even though the cumulative time spent maintaining it has a real opportunity cost: that time could be spent elsewhere.
That cost usually becomes more visible as the team grows or spreads across multiple sites — a spreadsheet that worked fine for 5 people doesn't scale the same way as one for a team of 20 or 30.
Is a spreadsheet really less reliable than dedicated software?
Not inherently — a well-maintained spreadsheet can be reliable. The real difference is automation: dedicated software removes the manual entry and formula errors that a spreadsheet structurally leaves possible.
At what team size does a spreadsheet start showing its limits?
There's no universal threshold — it depends more on complexity (variable schedules, multiple sites, remote work) than raw headcount. A small team with very stable hours can run on a spreadsheet for a long time without major issues.
